Sydney Airport Wheelchair Assistance and Transfers: What to Book

Airport wheelchair assistance and accessible road transport are separate arrangements. Learn how to coordinate both for your next Sydney Airport journey.

1. What is the difference between Sydney Airport wheelchair assistance and a wheelchair taxi transfer?

Airport wheelchair assistance supports passengers moving through the terminal and boarding or leaving their flight, according to the airline’s arrangements. A wheelchair taxi transfer covers the road journey between Sydney Airport and your home, hotel or another agreed address. These services need to be arranged separately. Contact your airline or travel agent when booking and at least 48 hours before arriving at the terminal to request wheelchair assistance. Confirm where assistance starts and finishes, including whether help is available to reach your ground transport pickup point. Our Sydney Airport wheelchair transport service provides accessible road transfers, subject to suitable vehicle availability. Standard transfers do not include inside-terminal meet-and-greet or name-board collection.

2. How do I coordinate airport assistance with my vehicle pickup or drop-off?

Before travelling, confirm how you will move between the terminal assistance meeting point and your booked vehicle. Share your flight number, terminal and assistance requirements with our booking team. For arrivals, ask your airline where your wheelchair will be returned and where its assistance finishes. Confirm who will help with luggage and how you will reach the agreed pickup location. Follow the instructions supplied for your transport booking, and tell us beforehand if the proposed location does not meet your mobility needs. For departures, confirm where you must meet airline assistance and how you will get there from the vehicle drop-off point. Keep your airline and transport confirmations accessible, along with the contact details for both services.

3. Can I travel with my own wheelchair, luggage and a carer or family member?

Yes, subject to your wheelchair’s suitability, the vehicle configuration and availability. Tell us whether you use a manual or powered wheelchair and whether you need to remain in it during the road journey or intend to transfer into a vehicle seat. Provide the wheelchair’s make, model and dimensions where available. Mention features that affect space, such as extended footrests, a headrest or additional mobility equipment. Our wheelchair measurement guide explains what to check. Include every accompanying passenger and the number of suitcases and smaller bags. This helps us assess space for your wheelchair, luggage and companions together. For powered wheelchairs, confirm the airline’s separate equipment and battery requirements directly with the airline.

4. What pickup time should I arrange, and what happens if my flight or wheelchair is delayed?

Your scheduled landing time is not necessarily the time you will be ready for collection. Allow time for leaving the aircraft, receiving your wheelchair, collecting luggage and completing any arrival formalities. Provide your flight number when booking so our team can factor it into pickup planning. If your flight changes, your wheelchair has not been returned or baggage collection is taking longer than expected, contact us with an update. Let the team know when you are ready to move to the confirmed pickup location. For departures, plan your home or hotel pickup around the airline’s required arrival time, allowing for traffic, boarding the vehicle, securing your wheelchair and unloading at the airport. Confirm the waiting allowance and any applicable charges for your booking before travel.

5. What information do I need to book a wheelchair airport transfer in Sydney?

Please provide: Travel date, flight number and domestic or international terminal. Pickup and destination addresses. Wheelchair type, dimensions and relevant equipment details. Whether you will remain in your wheelchair during the journey. Total passengers, including carers or family members. Number of suitcases, smaller bags and additional mobility aids. Any assistance arrangements affecting pickup or drop-off. A contact number for the passenger or person coordinating the trip. Separate flight and journey details if you also need a return transfer. Request wheelchair accessible transport online or call 02 9669 9390. Our team will review your requirements and confirm the booking, subject to suitable vehicle availability.
